AI Terms of Use

This document explains, in general terms, what BeppoAI’s artificial intelligence agent does when it handles WhatsApp conversations on behalf of a business, and which data it processes to do so.

Scope — what this agent does NOT do

BeppoAI’s agent answers, informs and books on behalf of a business. It provides no medical, legal or financial advice, and each business defines the specific scope in its configuration.

When a business operates in a sensitive sector —healthcare, for example— the agent is configured to route, not to answer: it directs people to the professional consultation or, if there are signs of an emergency, to emergency services. No reply from the agent replaces a professional’s judgment.

1What the AI does

The AI agent reads the WhatsApp messages an end customer sends to the business, groups the recent messages and replies automatically following the configuration (prompt, tone, tools) the business defined for its workspace. A human can take control of the conversation at any time.

2Conversation processing

Messages are sent to messaging providers (YCloud / Meta) and to language-model providers (via OpenRouter or Anthropic) to generate the reply. The content of the conversation may be stored by BeppoAI to operate the service (inbox, history, observability).

Conversation data is not used to train models. BeppoAI requests this explicitly in every call to the model providers, and verifies that its account settings reflect it.

3Customer memory

When the business turns on the customer memory feature, the agent generates with AI a summary of each end customer’s previous conversations and stores it for use in future replies, in order to provide continuity (for example, remembering a previous request). This feature is enabled by the business (off by default) and constitutes additional processing of the end customer’s personal data.

4Data-protection roles (Law 1581 of 2012)

In general terms, the business that uses BeppoAI acts as data controller of its end customers’ data, and BeppoAI acts as data processor, processing that data on the business’s instructions and in order to provide the service to it. The distribution of obligations between controller and processor, and the contract that formalizes it (Data Processing Agreement), are agreed in writing with each business: the controller defines the purposes and instructs the processing, and BeppoAI, as processor, handles the data only under those instructions, applies security measures and deletes or returns the data when the service ends.

5Duty to inform and Meta/WhatsApp policies

The business that deploys the agent is responsible for informing its end customers that they are talking to an artificial intelligence system, as applicable, and for complying with the Meta / WhatsApp commerce and AI policies that apply to its account.

6Limitations of the AI

The agent can make mistakes, the accuracy of its replies is not guaranteed and it does not replace professional, legal, medical or financial advice. No AI-generated reply constitutes a binding guarantee or offer from the business unless the business confirms it through a human channel.

7Data retention

When a business’s service ends, its conversations and memory summaries are securely deleted within 90 days of termination, unless legally required to keep them. This period is different from the retention during normal operation (90 days from the last interaction), which is explained in the Privacy Policy.
